Terms & Conditions
PAYMENT
The quotation is valid for a period of 90 days from the date of any quotation and all prices include full installation and tonal finishing of the instrument in the premises.
An initial payment of 15% of the total price plus VAT should be sent with the written order.
A further 20% plus VAT is payable on the commencement of works.
Three payments of 20% to be paid at regular intervals in accordance with the progress of work.
The remaining 5% is due immediately at completion of installation.
In the event of delay to an agreed schedule by the client, payment of the first 60% will remain due as determined by the original commencement date and we will store any materials ordered for up to 60 days free of charge. If installation is delayed beyond 60 days storage will be be charged at £60 plus VAT per week.
VAT will be charged at the rate applicable on the date each invoice is raised.
Additional site visits requested by the client prior to commencement of work will be charged at £40.00 per hour plus expenses and will include all travelling time to and from our premises in Gloucestershire.
An order cannot be confirmed until the initial payment and written order has been received.
Payment should be made by BACS transfer.
All goods remain the property of Cotswold Hybrid Organs Ltd until paid for in full.
TIMESCALE
Although every effort will be made to comply with the agreed schedule at the outset, it would be greatly appreciated if a firm opening date or recital were not made until work is nearing completion and an accurate finishing time can be established. We cannot be held responsible for any delays in the supply chain due to Covid-19 factors and we will keep you informed of any changes to the schedule as soon as possible.
No responsibility for consequential loss can be accepted by us if this request is not met.
PRICE FLUCTUATIONS
The figures referred to in this quotation are based upon the existing rates of remuneration and of subsistence allowances to employees in force. Also, the price of materials and manufactured goods currently used by ourselves could be subject to any proportionate increase or decrease that may take place after the initial 90-day period. Further information will be provided at the time instructions are received to undertake the work.
FACILITIES AND WORKING ARRANGEMENTS
During the undertaking of the work, the client shall afford all reasonable facilities in connection with storage of parts and protection against damage, access, parking etc; also free use of lighting, power, water, heating and other facilities required and for reasonable comfort of workers.
We will require a secure space in the church for working and storage during dismantling of the current organ and installation of the new instruments.
The tonal finishing and regulation is carried out on a note-by-note basis at the time of installation and will take up to four weeks to complete. In order for this to be effective, the church should be quiet and ideally unoccupied.
A further visit will take place after the organ has been installed for a few weeks at which time any final tonal adjustments can be made.
Accommodation for our staff if required is excluded in our costings.
Every facility will be given to clients, their advisers and experts to inspect the work during its progress.
ELECTRICAL WORK
It is the responsibility of church to provide any mains electrical requirements. We will provide you with detailed information in advance of all our power supply requirements.
INSURANCE
The installation will be carried out by our own staff from Cotswold Hybrid Organs Ltd and from our sister company The Cotswold Organ Company Ltd.
We will provide you with a copy of our current public, property and employer’s liability insurance.
GUARANTEE
All new electronic and mechanical components, transmission/capture, slider solenoids guaranteed for 5 years.
All remaining work shall be covered by the guarantee of the organ builder against defective or unsuitable parts and material or defective workmanship for 10 years, provided the organ remains in the care of Cotswold Hybrid Organs Ltd or their appointed representative for regular tuning & maintenance, cleaning and repair.
In the event of a fault, we normally aim to have the organ working again within 3 working days or by the next time the organ is required.
GENERAL
Unless already included in the contract price any additional work such as architectural design regarding the speaker installation is not included and would be charged separately.
Any hire of special lifting equipment, scaffolding or ladders required beyond those owned by the Cotswold Hybrid Organs Ltd and The Cotswold Organ Company Ltd is the financial responsibility of the customer. You will be advised in advance of any requirements in respect of this.
Upon receipt of your deposit and formal order we will commence the detailed design work of the console and East case and provide drawings for your approval. At this point we will also require wood samples showing the grain and colour of any wood desired to be matched.
